The Cost of a Missed Cutoff, in Actual Dollars

Agencies argue about software budgets in the hundreds while a single unwatched release date costs thousands. Run your own block through the math and see which conversation you should be having.

Here is a block that looks healthy from a distance. Ninety-six contracted room nights, fifty-six picked up, wedding in January. The agency that owns it is busy with eleven other weddings, and this one has months to go.

Now put a date on it. The contract's second release falls in six weeks, and it requires eighty room nights held. The block is short twenty-four. At a $410 group rate, the exposure sitting on that one date is $9,840. If the clause charges the full room value. A 35% penalty clause softens it to $3,444, which is still a very expensive Tuesday.

The part that stings

Nobody decides to miss a cutoff. It happens because pickup lives in a spreadsheet, the release schedule lives in a PDF, and the two only meet when someone remembers to compare them. In a twelve-wedding year, that comparison needs to happen weekly across every block. It doesn't.

The other reason it stings: the exposure was visible the whole time. Pickup was fifty-six for weeks. The date didn't move. The math was one subtraction and one multiplication away, every single day, and no one ran it.
