Room-block software for destination wedding agencies

Guest booking, connected to your room-block control.

Sera Agency Ops links every guest reservation to the live inventory you actually contracted. Pickup pace, attrition deadlines, couple approvals, payment reminders, and a wedding website for every couple. One system, in place of WordPress, a stack of spreadsheets, and a folder of reminder emails.

No card to start. We set up founding agencies directly. Prefer to talk first? Book a 15-minute demo.

Sound familiar?

You are running six-figure room blocks on tools that were never built for them.

A wedding block is contracted inventory with deadlines and money attached. Most agencies manage it the same way they manage a grocery list.

01

Hand-built wedding pages

Every new couple means another afternoon in WordPress, rebuilding the same rate tables, dates, and FAQs you built last month.

02

Card numbers in a web form

Guests type full card details into a form on your site, and someone re-keys them into the resort system. That is real PCI exposure and hours of manual work.

03

Pickup buried in a spreadsheet

Contracted nights, booked nights, and the cutoff date live on different tabs. You usually find the gap once it already costs money.

04

Reminders typed one at a time

Final payments come due and someone writes forty separate emails. Then does it again next month.

05

Couples texting for a status

"How many rooms are left?" lands at 9 PM, and an honest answer means opening three systems first.

06

Sold-out categories booked anyway

A guest grabs a Garden View that no longer exists in the block, and now you are back on the phone renegotiating with the resort.

The platform

Everything between “contract signed” and “final guest paid.”

Command center

Every block is ranked by what needs you first, with a plain reason for the order: a pickup gap, an approaching cutoff, a wedding date, or an overdue payment. Each one comes with the next step to take.

Room-block inventory

See every contracted category with booked, pending, and remaining counts at a glance. When a category fills, it switches to request-only instead of overselling.

Couple approvals

A sold-out or block-growing request never books on its own. The couple approves or declines on their dashboard, and the decision is logged.

Guest booking pages

A branded page per wedding, generated from your block data: live availability, occupancy-based rate tables, key dates, and a request form. No card on the form. A secure link follows.

Payments and reminders

Track every payment by status, mark wire and resort-direct payments paid in one click, or connect your own Stripe. A daily sweep reminds whoever is due or overdue.

Pickup, perks, and attrition

Pickup math is calculated for you. Perk thresholds recompute as bookings move. Release dates and below-floor pickup surface as ranked risks, weeks before they turn into a bill.

The Garden View problem

A sold-out category should never book behind your back.

The couple contracted ten Garden View rooms. All ten are booked. Guest number eleven wants one anyway. In a spreadsheet or a standard booking form, that reservation simply goes through, and you find out when the resort calls. Sera Agency Ops stops it at the door and hands the decision to the people who own the block.

  1. 1

The guest requests a full category

The request is captured and held. It is never quietly accepted.

  2. 2

The couple decides on their dashboard

Approve and ask the resort for one more room, or decline and offer the guest another category.

  3. 3

You ask the resort and log the answer

Approved, denied, or changed terms. The full trail is recorded and permanent.

  4. 4

    Guest confirmed, block intact

Inventory updates, the payment schedule generates, and reminders begin.

Payments without the liability

Stop collecting card numbers in web forms.

Some of the best-known names in this industry still ask guests to type full card details into a website form, then enter them into the resort system by hand. It is slow, and it puts card data in places it should never sit. Sera Agency Ops keeps payment status in one place and keeps the cards out of your inbox entirely.

  • Connect your own Stripe account, opt-in, so payment links run under your name
  • Card details stay on Stripe's hosted page, not on your site or ours
  • Mark wire and resort-direct payments paid with a single click
  • A daily sweep prepares reminders before and after due dates; connect email to send them automatically
  • Every payment carries a clear status, so you always know who still owes

The platform does not hold funds, and it does not store card numbers. You stay in control of the money either way.

Built inside a working agency, not a pitch deck.

Sera Agency Ops started as the internal operating system of a Riviera Maya room-block agency, and it runs that agency's real weddings. The approval flow exists because a coordinator needed it on a live block with a real cutoff date. We piloted it across three real weddings before opening it up.

Runs a real agency

Not a prototype. It operates a working Riviera Maya agency's live blocks.

Proven on a pilot

Three real Xcaret weddings managed end to end before we opened it up.

Every approval logged

Each couple decision is recorded with a permanent trail.

Your data stays yours

Per-agency row-level isolation in the database. No one else can read it.

Priced for agencies, not for enterprises.

Plans start at $79 a month. Every plan includes the command center, the risk radar, and rooming-list import. Start with a 14-day free trial, no card required.

Questions agencies ask us

Does the platform hold guest money?+

No. When you connect your own Stripe account, guests pay through Stripe under your name. You can also track wire and resort-direct payments by hand. The platform follows status and sends reminders. It does not hold funds, and card details stay on Stripe's hosted page, not on your site or ours.

We run everything in spreadsheets today. How hard is the switch?+

One block takes roughly twenty minutes: enter the contract terms, import your rooming list as a CSV, and publish the guest page. The importer checks your columns, flags duplicates, and catches rows that fall outside the block before anything merges. For founding agencies, we set the first blocks up with you.

Can other agencies on the platform see our data?+

No. Isolation is enforced at the database layer with row-level security, not only in application code. No agency can read another agency's blocks, terms, guests, or payments.

What happens when a guest wants a room category that is sold out?+

It goes to the couple as a pending approval instead of booking on its own. If they approve, you ask the resort and log the answer. If they decline, you offer the guest another category. The full trail is stored either way.

Do couples and guests need to create accounts?+

No. Couples reach their dashboard and website editor through a private link. Guests use the public wedding page. Only your team signs in.

Is Stripe required?+

No. Stripe Connect is opt-in and runs on your own account. Until you turn it on, you can still track payments and mark them paid by hand. Reminders work in both modes.

Who is behind this?+

It was built inside a working Riviera Maya room-block agency and runs that agency's real blocks today. We turned the operating system into a product because the tools on the market did not model room blocks properly.

Run your next block like a command center.

Create your agency workspace, load the sample weddings, and see your operation the way it should look. Free for 14 days, no card. We set founding agencies up directly.
